Invite users into the platform, and define what they're allowed to do

Where to add users and manage roles

Accessing the sub-menu from your user icon (top right of any page) will show this menu with options for users and roles.

Available rights

Webtrends Optimize has permission settings as follows:

  • Rights: An individual permission for a specific action

  • Roles: A collection of rights, that together define a job role. E.g. "a developer must be able to do X, Y, Z".

  • User: Can be assigned one or more roles. E.g. "analyst + developer".

A list and description of available rights are as follows:

Ability to create new Location objects. I.e. which pages your test is targeting.

Locations Delete

Ability to delete Location objects.

Ability to edit/update Location objects.

MetaTables Create

Ability to create new Data Imports.

MetaTables Delete

Ability to delete Data Imports.

MetaTables Edit

Ability to edit Data Imports.

Reporting View

Ability to view the reporting / analytics area of the product.

Segments Create

Ability to create new Segment objects. I.e. which audience your test is targeting.

Segments Delete

Ability to delete Segment objects.

Segments Edit

Ability to edit/update Segment objects.

Tags Create

Ability to create a new Tag Configuration, which contains global tag customisations, masking, page hide, your conversoin package, etc.

Tags Publish

Ability to set new tag versions live.

Tests Create

Ability to create a new experience of any type.

Tests Delete

Ability to delete an experience.

Tests Edit

Ability to edit/update an experience.

Tests Publish

Ability to set an experience live.

Abliity to see Preview Links.

View Audit Logs

Ability to see Audit Logs, which are a log of every action taken in the product.

Managing Roles

We address this first, as it's useful to have roles in place by the time you invite users.

Roles are a collection of permissions that you can assign to a user. E.g. "Developer, who is allowed to Create Tests, Locations, Segments, etc. but not set them live".

When you invite users into the platform, you attach Roles to them - they are allowed to carry multiple ones, with "Manager" being the global permission.

  3. This is where new roles appear when you create them

  4. Click here to add a new role

Creating new roles

Creating new roles is a straightforward exercise.

  1. Enter a role name

  2. Enter a role description, optionally.

  3. Select a location - either for Account Settings or Optimize.

  4. Pick your associated Rights / Permissions.

  5. Click Save.

You can then attach this Role to any existing user, as well as any new ones you create if you wish to.

Once saved, you'll see it appear as a new option in this list:

Adding users to the platform is also very straightforward:

Once at the Users screen, click + and add a new user.

You will need to provide their name, email and pick any Roles that you want associated with them. Then simply click Save.

That user will then recieve an invite, asking them to login and set a password:
